🧰 Tools to Make Business Admin Suck Less
Published about 6 hours ago • 4 min read
🧰 Smart tools. Useful tips. Weekly.
Hola friend 👋,
I’m Josep. Each week, I hunt down practical tools and productivity hacks to help digital doers like you do more with less effort.
This week: three tools to keep business admin from taking over.
Business admin is unavoidable, but it has a talent for quietly eating the hours meant for clients, sales, and delivery. A few well-chosen apps can keep client details, invoices, and signatures from becoming a mess of tabs and follow-ups.
Today, I’m sharing three practical apps for managing clients, money, and signatures (a mix of free and paid options).
Plus: a place to compare AI models, a simple review-request flywheel, and a sober look at battlefield footage becoming AI training data.

Your cookie banner might be doing less than you think.
Whether you use Shopify, WordPress, Wix, or another platform, a cookie banner is essential. But many simply display a popup without checking which trackers are running, creating compliance risks as new plugins and ad pixels are added.
Cookiebot by Usercentrics automatically scans and classifies your trackers, then displays a banner designed to meet GDPR, CCPA, and other regulations.
Setup takes minutes with no coding required. Tooltester readers get 10% off any plan for six months using the link below.
A new client should not mean opening five tabs before you’ve even sent the proposal. Dubsado keeps the whole client journey together, so your inbox can stop pretending to be your office manager.
It captures leads, sends forms, proposals and contracts, takes payments, schedules appointments and automates repeatable workflows.
The appeal is fewer handoffs between forms, calendars, e-signature tools, and accounting apps. But it isn’t a lightweight invoice sender: it makes most sense when your client process follows a repeatable path. Expect to spend a couple of hours getting it properly set up.
The client work is the fun part; chasing an overdue invoice and reconstructing expenses at month-end isn’t. Wave brings invoices, estimates, and basic bookkeeping together, giving freelancers andsmall businesses fewer loose ends to deal with. Its free Starter plan covers invoices, estimates, and basic books. Pro costs $19/month ($190 annually) and adds bank imports, receipt capture, and late-payment reminders. You can take online payments too, although transaction fees apply. Its clear lane is practical money admin without the commitment of a heavyweight accounting system. It's a sensible pick for freelancers and small service businesses that want cleaner records and more polished client billing. You’ll outgrow it if you need inventory or deeper reporting; also, bank imports and receipt capture require the Pro plan.
Chasing a signature is one of those tiny admin jobs that can somehow take days and dozens of emails. Sign.Plus handles the dull bit: upload the document, add the fields, and send it out.
It supports legally binding e-signatures, templates, and access via browser, mobile, Google, Microsoft, and Zapier. Just don’t mistake the free plan for a long-term option: it includes three total signature requests and one template. Personal starts at $9.99/month for 10 requests a month; unlimited requests require Professional at $19.99/month.

Poe is useful if you keep jumping between different AI tools to find the best answer. Its web, mobile and desktop apps give you access to models from OpenAI, Anthropic, Google and others, plus AI tools for generating images, video and audio. You can compare models inside one conversation, create custom bots and even bring AI into group chats.
It makes most sense for curious AI users, creators, and small teams that want variety without paying for several separate subscriptions.
One catch is Poe’s points system. Different models use different amounts of credits, with advanced models and media generation using them up faster, so it’s easy to lose track of what you have left.
You’ve just wrapped up a job, sent the invoice, and the client says they’re happy. That’s the moment to ask for a review – not three weeks later, when the details have gone fuzzy.
Make reviews effortless: Set up a single direct review link or QR code, then share it wherever customers naturally reach the end of a positive experience.
• Add it to invoices and receipts. • Include it in a short post-project thank-you email. • Send it in a WhatsApp follow-up after a completed service. • If you sell physical products, slip the QR code into the packaging.
Sharing review links and QR codes through receipts, thank-you emails, and chat messages helps conversions. Keep the ask simple and only invite people who have genuinely used your business. I would stay away from offering discounts, freebies, or prize draws for reviews, as Google treats incentives as fake engagement.
Set it up once, and collecting reviews becomes part of finishing good work, rather than another admin task that gets buried.
🍿 Plot Twist of the Week
Most AI training data comes from tidy spreadsheets, image libraries, publicly available data, or existing users. But there are batches coming from a war zone – yes, a grim topic, but I wanted to make you aware of this.
Ukraine’s Avengers Labs is giving UK defence organisations a secure way to train and test AI models for unmanned systems using real battlefield data – a.k.a. drone strike footage. According to the public update, partners work within a secure environment and cannot directly access or download the dataset.
It’s a reminder of how quickly AI is advancing, and how valuable real-world training data has become. With more nations investing in AI for defence, I can only hope it leads to more peace rather than more conflict.
That’s it for this week. Thanks for reading! Next time: more practical tools to make your business easier to run.
